Follow a customer, deal or person with Topics

Topics keeps a running file on anything you care about across all of your recordings. Name it once — a customer, a deal, a project, a teammate — and Noteary shows every conversation that mentions it, newest first, with who said it and a link to the exact moment.

Track a topic

  1. Open Topics from the sidebar (on a phone, from the bar above your library), or press ⌘K and type “Topics”.
  2. Type the name you want to follow — for example a customer, “Project Atlas”, or a colleague’s full name.
  3. Before you save, a live preview shows how many recordings already mention it. Press Track.

There are two shortcuts too: searching your library for a name offers a Track “…” chip, and so does an Ask Memory answer when your question names someone or something.

What counts as a mention

Transcripts aren’t perfect, especially with names and acronyms, so matching is deliberately forgiving:

  • Acronyms — a short all-caps name (2–6 letters, like “ACME”) also finds it spelled out letter by letter (“A C M E”) and one-letter mishearings.
  • Word forms — “forecast” also finds “forecasting” and “forecasts”.
  • Names of several words match as a phrase, so “Project Atlas” doesn’t fire on every call that says “project”.

If a name keeps being transcribed some other way, open the topic, choose Edit, and add it under other spellings (comma-separated). Every spelling feeds the same timeline.

Reading the timeline

Each topic page lists the recordings that mention it in date order, with the quoted lines, the speaker, and the time in the recording. Select a quote to open the recording at that second.

Your Topics list shows how many recordings mention each topic and when it last came up. When a recording added since you last looked mentions it, the topic gets an “N new” badge — and the Topics link in the sidebar shows the total — until you open it.

Mention alerts

When a new recording finishes processing and mentions a topic you track, Noteary can tell you: one notification per recording, listing every topic it matched.

  • Browser notifications are on by default. They arrive once you allow notifications for Noteary in your browser — go to Settings → Notifications and choose Turn on for this browser.
  • Email alerts are off by default; switch them on in the same place, on the Topic mentions row.
  • Mute one topic without untracking it: select Alerts on on that topic’s page to switch it to Alerts muted. It keeps tracking and badging; it just stops notifying.

Alerts are for new conversations. Importing an older recording, or one of a conversation that happened before you started tracking the topic, adds it to the timeline without sending an alert. If a topic comes up in a burst of recordings, you get a few alerts and then a single “your topics keep coming up” notice rather than a flood.

Mention alerts are delivered as browser notifications and email today. The iPhone and Mac apps show your topics and their “new” badges, but don’t send their own alert for a mention.

Topics for a team workspace

If you belong to a workspace on a paid Teams plan, choose it in the Search in menu next to the name when you track a topic. The timeline then covers recordings teammates have shared into that workspace as well as your own. A topic is always private to you — teammates don’t see what you track.

Plans and limits

Topics and mention alerts are included on every plan, Free included, for your own recordings. Following a topic across a team workspace needs that workspace to be on a paid Teams plan. You can track up to 25 topics at a time. See Pricing for everything else each plan includes.
